Privacy Policy for FGDMS (Food Grain Distribution Management System)

FGDMS (“we”, “our”, “us”) operates the Food Grain Distribution Management System (FGDMS) mobile application (the “App”).

This Privacy Policy explains how we collect, use, and protect your information when you use our App.

1. Purpose of the Application

The FGDMS App is developed to ensure transparency and accuracy in the government’s Food Grain Distribution Management System.
It is used only by authorized fair price shop owners under the Food and Civil Supplies Department.

When food grain consignments are dispatched from district or zone warehouses, a QR code is generated for each delivery.
When the truck driver arrives at the shop location, the shop owner logs in to the FGDMS app using a username and password, scans the QR code, and verifies the received stock.

The shop owner then records the received quantities (e.g., rice 50 kg, wheat 45 kg), captures a selfie photo, adds a signature, and submits the data.
At the point of submission, the app captures the user’s GPS coordinates (latitude and longitude) to confirm the delivery occurred at the correct location.
If the location matches the designated shop area, the delivery is marked as completed, ensuring complete transparency and accountability in the distribution chain.

2. Information We Collect

We collect the following types of information from users:

a. Personal Information

Selfie Photo — captured during delivery confirmation to verify shop owner identity.

Signature — collected to acknowledge receipt of allocated food grains.
These are captured only at the time of delivery confirmation and are tied to that specific delivery record.

b. Location Data

We collect GPS coordinates (latitude and longitude) at the time of data submission to:

Verify that the delivery occurred at the correct authorized shop location.

Prevent fraudulent submissions outside the designated area.

c. QR Code Data

The app scans and processes QR codes provided by the system to:

Identify the corresponding truck, consignment, and shop.

Retrieve details such as the allocated quantity of food grains.

d. Device Information

We may collect limited technical data (e.g., device ID, OS version) for debugging, app performance improvement, and security monitoring.

3. How We Use the Information

We use collected data solely for operational and verification purposes, including to:

Verify that deliveries are made to the correct shop and location.

Maintain secure and transparent records of government food grain distribution.

Enable shop owners to view their delivery history.

Support government audits and ensure accountability in the supply chain.

Improve app reliability, performance, and security.

4. Data Storage and Security

All collected data — including photos, signatures, location, and QR records — are securely stored on our protected servers.
We use encryption and secure communication protocols (HTTPS) to prevent unauthorized access.

Data is accessible only to authorized government departments and system administrators responsible for food grain distribution oversight.
Your data is never shared, sold, or used for commercial purposes.

5. Data Retention

We retain user data only as long as necessary for operational and audit purposes as defined by government requirements.
After this period, data may be archived or deleted securely and permanently.

Withdraw consent for location or camera access (note: doing so may disable key delivery functions).

These permissions are used only at the time of delivery verification and not in the background.

This App is intended only for authorized shop owners and government personnel involved in food grain distribution.
It is not meant for children under 18 years of age.

9. Intended Audience

The FGDMS App is strictly for authorized fair price shop owners and government distribution personnel.
Unauthorized or public users cannot register, access, or use the system.
